Privacy Policy

This Privacy Policy explains how Nepal Chemists and Druggists Association, Kathmandu ("we", "us", or "our") collects, uses, shares, retains, and protects information when you use our website and NCDA Kathmandu mobile application (the "Services").

1. Information we collect

  • Account and profile information — name, email address, phone number, profile details, photographs, address, location, and member or business information you provide.
  • Membership information — membership type, application and renewal records, member identification, uploaded documents, invoices, and membership status.
  • Association membership payment information — for membership applications, renewals, and other association charges, we may collect the invoice, amount, payment date, payment method or channel, transaction reference, payment status, and payment proof, slip, or receipt you submit.
  • Health and adverse drug reaction information — ADR reports may include patient initials, age, gender, weight, medicine and dosage, route and therapy dates, reaction details and onset, seriousness, outcome, other medicines, relevant medical history, comments, and supporting attachments.
  • Chats and support — messages, attachments, reports of objectionable content, blocks, and support-ticket communications.
  • Business and directory information — listings, contact details, media, and location information you choose to publish or use to find nearby services.
  • Device and technical data — device identifiers, push-notification tokens, app version, language, and basic usage and security information needed to operate the Services.

2. How we use your information

We use information to provide and administer association membership services; process applications, renewals, association charges, and payment review; issue receipts and maintain accounting records; receive, review, follow up on, and report suspected adverse drug reactions; display directory listings you publish; provide chat and support; send notices, reminders, and push notifications; prevent abuse and fraud; operate, secure, and maintain the Services; and meet legal, accounting, reporting, and regulatory obligations.

3. Health and adverse drug reaction information

The ADR reporting feature is available to registered pharmacy professionals and association members. ADR reports are linked to the submitting member's account for eligibility verification, follow-up, audit, regulatory reporting, and communication with Nepal's Department of Drug Administration or other legally authorized health authorities.

ADR reporting is a safety-reporting feature and is not a substitute for medical diagnosis, treatment, or emergency care. We do not use HealthKit, collect health information from device sensors, provide medical diagnosis, make automated treatment decisions, or use health information for advertising, marketing, profiling, or tracking. Do not submit more identifying or medical information than the report requires.

4. Association membership payments

Payments handled through the Services relate to association membership applications, renewals, invoices, and other association charges; they are not payments to purchase or download the app. Payment records are linked to the relevant member account and are used only for payment verification, membership administration, accounting, receipt generation, dispute handling, fraud prevention, and legal or regulatory obligations.

We do not request or directly receive full payment-card numbers, bank-login credentials, or digital-wallet passwords. Do not upload unredacted credentials or unnecessary account details in payment proof. Credentials entered through an external payment provider are processed by that provider under its own privacy and security terms.

5. How we share information

We do not sell personal information. We share it only with service providers that help operate hosting, storage, push notifications, email or SMS, and payment processing; payment providers when an online payment method is chosen; authorized association staff who review membership, payments, safety, support, or abuse reports; Nepal's Department of Drug Administration or other legally authorized authorities for ADR or regulatory reporting; public directory recipients for information you choose to publish; and authorities where required by law or necessary to protect rights and safety.

6. Data retention

We keep account and membership information while an account or membership is active and retain records only as long as reasonably necessary for the purposes described above. Payment, accounting, ADR safety, fraud-prevention, security, and legal-compliance records may be retained after account deletion where required or permitted by applicable law. Other information is deleted or anonymized through our approved account-removal process where practicable.

7. Your rights and choices

You can access and update most information from within the app. You may request correction, account deletion, or removal of public data. An authenticated deletion request is reviewed so required accounting, safety, and legal records can be protected. Public directory data is hidden promptly, while approved account anonymization is completed by an authorized administrator. Account and data deletion is available through the in-app settings or at https://ncdaktm.org.np/account-deletion.

8. Security and chat safety

We use reasonable technical and organizational measures to protect information, including access controls for private files and moderation controls for chat. Chat content may be filtered, reported, removed, or restricted when it violates our rules. No method of transmission or storage is completely secure, but we work to protect information against unauthorized access, alteration, and disclosure.

9. Children's privacy

User accounts and association membership services are not directed to persons under 16. ADR reports submitted by authorized pharmacy professionals may concern a patient under 16 and may therefore contain limited health information about a minor. The reporter must have lawful authority or appropriate consent to submit the report and must provide only the minimum information required for pharmacovigilance and regulatory reporting. If you believe a minor’s information was submitted improperly, contact us so we can review and take appropriate action.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by an updated "Last updated" date and, where appropriate, an in-app notice.
